PRODUCER HANDOFF GUIDE

What makes a commercial insurance appointment useful?

Agree on the definition before the first meeting. A useful appointment gives a producer a relevant business and a clear reason to talk.

Account fit comes first.

Specify the classes of business, territory and account criteria the program is meant to pursue. Your agency decides what fits its appetite. A meeting outside that brief needs to be identified before it reaches the producer.

Confirm who is involved.

Agree on the role that belongs in the conversation. A name on an account is not proof that the person can make an insurance decision. Document what has been confirmed and what is still unknown.

Make the purpose explicit.

Record the reason for the conversation, the agreed next step and the meeting details. If a renewal window was shared, include it. Do not fill gaps with assumed premium, policy limits or fabricated urgency.

Separate qualification from billing.

Qualification describes account fit and the meeting. Pricing, cancellations, reschedules, attendance and any credit rules are separate agreement terms. Confirm them in writing. A qualified booking does not promise a sale.

Hand over the context.

Give your producer the account notes and what the prospect expects to discuss. Licensed agency personnel handle insurance advice, coverage, quotes and sales. The prospecting team supports the introduction.

A planning guide, not insurance or legal advice. Your agency confirms its approved outreach process and licensed-personnel responsibilities.
